A travel agency’s technology stack should reduce duplicate work and help staff serve clients accurately. More tools do not automatically mean a better process. Map the journey from first enquiry to post-trip follow-up, then decide which system owns each part.

Client records and preferences

Use a central client record for contact details, trip dates, agreed preferences and communication permissions. Define which fields are necessary and who can access them. If staff must correct the same information in several systems, resolve that handoff before adding another application.

Itinerary planning and documents

An itinerary tool should present confirmed services, meeting points and important conditions clearly. Distinguish a suggestion from a paid booking. Check how updates reach the traveler and whether an old PDF can be mistaken for the current plan.

Experience search and booking

A dedicated experience platform can add tours, transfers, attractions and dining to the agency’s existing offer. Evaluate live availability, passenger details, confirmation delivery, cancellation handling and support access. Test products from your main destinations rather than selecting software on catalogue size alone.

Toristy connects travel sellers with 130,000+ experiences. Its agent portal supports agencies booking for clients, while API, widgets and booking links provide other integration routes.

Payments, earnings and reconciliation

Track the booking reference, gross customer value, supplier or net cost, expected commission, refunds and settlement status. Decide how finance will match a payout to completed services. A dashboard total is useful only when it reconciles with the actual commercial agreement.

AI tools with a defined job

Use AI where the input, output and review process are clear. It may help draft recommendations or organise a shortlist; it should not invent availability, product restrictions or confirmed travel arrangements. InTrip AI focuses on branded experience recommendations across the traveler journey.

Evaluate the whole workflow before committing

Run a pilot that includes a normal booking, an amendment, a cancellation and a failed payment. Check data exports, user permissions, mobile usability and support response. Calculate total operating cost, including training and maintenance, rather than comparing subscription prices alone.

The right stack is the one your team can operate reliably. Document its ownership, keep essential data portable and review whether each tool still saves time as the agency grows.
